Preparing order exports for a commission audit
A practical checklist of fields to include so match keys survive the journey from seller centre to spreadsheet.
Audits stall when order IDs in the sales export do not match the IDs in the settlement file—sometimes by a prefix, sometimes by a child-order split after partial cancellation.
Before you send files, confirm:
- Order ID format matches what appears on settlements (including leading zeros).
- SKU and category fields exist for the same window.
- Cancelled and returned lines remain present with status flags, not deleted.
- Time zone of timestamps matches how the marketplace stamps settlements (often UTC+8 for Malaysia-facing channels).
Strip buyer names and phone numbers. We do not need them for commission tracking. Keep warehouse codes if you run multi-fulfil fulfilment—they sometimes explain fee differences that look like category issues at first glance.
If your export tool truncates at 10,000 rows, split by week rather than silently dropping the tail of the month.
